These are your mandatory ongoing duties as a UK sponsor licence holder in Loading....

Reporting Duties (Strict Deadlines)

You must report specific events to the Home Office within tight deadlines via the SMS system. Missing deadlines is a serious compliance breach.

Report Within 10 WORKING DAYS:

  • Worker doesn't start on agreed date
  • Worker stops working for you (resignation, dismissal, end of contract)
  • Worker absent without permission for 10+ consecutive days
  • Significant changes to worker's circumstances
  • Change of worker's job role or salary

Report Within 20 WORKING DAYS:

  • Worker's contact details change (address, phone, email)
  • Worker has 4+ weeks cumulative absence in 12 months

Record-Keeping (4 Years Minimum)

Maintain detailed records for all sponsored workers. Must be accessible for Home Office inspections. Keep for duration of employment PLUS 4 years after they stop working for you.

  • Right to work documents: Passport, visa, BRP copies (all pages)
  • Contact details: UK address, phone, email (kept current)
  • Employment records: Contract, job description, start/end dates
  • Salary records: Payslips, payment evidence, salary changes
  • Attendance: Working patterns, absences, holidays tracked
  • CoS details: Certificate reference, assignment date, job stated

Right to Work Checks (All Employees)

Conduct right to work checks for ALL employees (not just sponsored workers) to prevent illegal working. Civil penalties up to £20,000 per illegal worker if you fail to check properly.
